Hi ,
Welcome to Day 3 of the Coaching Week.
As you plan your week, you need to find time for the tasks on your list. Go through each task:
- What is it’s priority – overdue, urgent, important; 1, 2, 3; A, B, C; red, amber, green … whatever makes sense for you.
- When is it due? Today, tomorrow, this week, this month …? Don’t clutter your list with tasks that don’t need to be completed until a later date. Add them to your master list or add a reminder on your calendar so they pop up when needed.
- How long will it take? This can be tricky as you’re likely to underestimate how long, especially if it’s something you haven’t done before but a best guess is fine.
- Group similar tasks by type – phone calls, emails, project or client. It’s quicker and more efficient to do similar tasks than switch between different types of tasks. For instance make a few phone calls, send several emails at the same time.
- Find time based on how long you think each task will take, do you have enough time in the day to complete them all? Probably not. What do you need to reprioritise?
As you add new tasks apply the same principles of prioritising, organising and scheduling.
Add blocks of time in your day when you’re going to do the tasks on your list.
Hopefully you’re starting to find time in between the blocks of meetings when you can do this.
Create those regular blocks of time across the week to actually get stuff done.
Until tomorrow ... keep up with the planning.
